Administrative Support Specialist - Operations - Permanent Full Time

Reporting to the Manager of Operations, the Administrative Support Specialist provides front line service and support for the Public Works Operations Centre. This position performs administrative and clerical duties which include, but are not limited to, invoice processing, reception, file maintenance, sign making, time sheet reconciliation and ordering parts and supplies. This position occasionally assists in the shop, and also provides coverage for the Public Works Office Coordinator when needed.

What you’ll do

  • Provide administrative support to Manager, Foreperson, and Heavy Equipment Mechanic as needed
  • Process work orders in Mr. Compliance and WorkTech
  • Order materials and supplies, request quotes, and receive materials
  • Monitor and reconcile division invoices and payroll for Operations staff, including checking jobs, trucks, and codes that employees enter into WorkTech (Pearl)
  • Design traffic signs, tourism signs, and emergency numbers using Composer software
  • Respond to phone calls and inquiries from the public, provide information, take messages and create service requests
  • Greet and assist clients who come into the office
  • Other duties as assigned.
